Migrating to the New Email Import Flow¶
The new import flow replaces the old mailbox-folder-based error handling with the System Health page in Lime CRM — a built-in view where failed email imports are listed, inspected, retried and dismissed. It also adds EML file downloads for incoming messages.
The flow is controlled by a feature switch that has to be turned on for your installation. Until it is, email import keeps working the way it always has.
Timeline¶
- Until 30 November 2026 — the new flow is opt-in. Turn it on whenever it suits you, so you have time to onboard your users.
- From 1 December 2026 — the new flow is turned on for everyone. No action needed on that date, but the upgrade steps below still apply.
We recommend doing this well before the deadline so you can verify the setup while support for the old flow is still available.
Turning It On¶
The feature switch is set by Lime — contact your Lime consultant or Lime support and ask them to enable the new email import flow for your application.
Upgrade Steps¶
Run these steps in Lime Admin once the feature switch is on:
- In
Lime Admin -> Settings -> Email Integration -> Setup, press the Check Installation button and run the installation. This will add new fields and views required for the System Health page. - Refresh the page to load the new configuration.
- In
Lime Admin -> Settings -> Email Integration, press theSavebutton to update your field mapping. - In
Lime Admin -> Views -> Conversation Message, press theSavebutton to update your view config. - In
Lime Admin -> Views -> Conversation, press theSavebutton to update your view config. - If you have emails stuck in the old "Lime CRM Integration Failed" mailbox folder, go to
Lime Admin -> Email Integration -> Email Accounts, select the relevant accounts, and click Sync emails. This moves those emails back to the inbox and feeds them into the new import pipeline. - Add the System Health widget to your Lime CRM start page for an at-a-glance view of failed imports. See Configuration for setup instructions.
What Changes for Your Users¶
- Failed imports show up in the System Health page instead of in a mailbox folder. Each problem shows which email failed, at what stage, what went wrong, and the original EML file.
- A failed import can be retried or dismissed from Lime CRM — no manual work in the mailbox.
- Nobody needs to watch the "Lime CRM Integration Failed" folder any more. It is no longer used.
What happens to your mailbox folders
Turning on the new flow does not remove any folders from the monitored mailbox. The Failed folder remains, but is no longer written to; once you have run Sync emails on it (step 6) you can ignore it, or delete it manually if you prefer. The Processed folder is still used, and emails there may be imported, dismissed, or skipped — see How It Works. Accounts set up after the upgrade never get a Failed folder.
